Terms & Conditions

Before confirming your booking with The Beeches Glamping, please read through the following booking terms and conditions and make sure you agree with everything.  The Beeches Glamping is owned and operated by Glamping at the Beeches Ltd trading as The Beeches Glamping. Payment of the required amount to confirm your booking shall be deemed to be acceptance of these terms and conditions. THE BEECHES GLAMPING TERMS AND CONDITIONS

Booking and payments

• We require a deposit of 30% of your stay at the time of booking. The remaining 70% is due 30 days before the date that your stay commences.
• If your stay commences within 30 days of your booking, the whole amount will be due at the time of booking.
• Payments are taken on our website via Stripe and most major debit and credit card are accepted.  Please contact us if you are unable to make payment by card.
• The person making the booking must be over 21 years of age and there must be at least one adult over 21 staying in each pod.
• Please note we operate a minimum stay of 3 nights during school holidays and bank holiday weekends when our check in days are Monday and Friday. At all other times we have a 2 night minimum stay. We occasionally offer one night stays, please contact us or check our social media.
• The pods must not be occupied by more people than stated in your original booking.

Security Deposit

• A security deposit of £100 will be held for each booking. When you book on our website, you will be asked to store a card on our booking system which will be used to pre-authorise a £100 security deposit. The £100 will be held from your check in day and will only be used if you fail to comply with our Terms and Conditions or there is extensive damage that needs to be paid for such as damage to the hot tubs, burns, damage to bed linen etc. We rarely have to charge guests but unfortunately, we have had to introduce a security deposit due to some guests causing extensive damage. 
• The £100 is not actually taken from your account, it is just held by your bank so we can use it if we need to. If there is no damage then the full amount will be released within 24 hours of you checking out.

Cancellations

• If you do need to cancel your stay, please contact us as soon as possible at contact@thebeechesglamping.co.uk
• Unfortunately, we do not offer refunds. However, if more than 14 days notice is given, we can reschedule your booking to another commencement date within 12 months of the original booking commencement date, subject to availability.
• We strongly advise that you take out travel insurance when making your booking.
• In the unlikely event that we need to cancel your stay, we will offer you alternative dates or a full refund. 
• If you fail to arrive at our glamping site to take up your booked accommodation, then you will be remain liable for the total cost of your booking and no refund will be given.
• If full payment is not made before your stay, we reserve the right to cancel your booking with no refund.

The above cancellation policy will be reviewed on a regular basis.

Arrival/Departure

• Check in is from 3pm. The pods are self check in. Please do not arrive before 3pm unless you have arranged an early check in with us.
• We have an electric gate into the field, you will receive an email with the gate code on your check in day. There is a parking space for 2 cars on the gravel to the left of each pod.
• Check out is strictly 10am unless a late check out has been prearranged with us. We reserve the right to charge for unauthorised late checkouts. 
• Once you have made your booking, you will receive a confirmation email but this can take 30 minutes to come through so don’t panic if it doesn’t arrive straight away. We would ask all guests to read through this and contact us if you have any further questions. We will also send you a digital registration form by email which needs to be completed as we have to keep a record of names and phone numbers of all our guests over 16.
• We will also send you a link by email to our online digital welcome pack with all the information you need to enjoy your stay.
• On departure, please leave your glamping pod in a clean and tidy state ensuring. If the pod is left in an unsatisfactory state, this will incur additional charges. 

Damages and Breakages

• Any damages to the site facilities or glamping pods must be reported and may incur additional charges. Additional charges may also be incurred if the glamping pod is left in an unsatisfactory state that requires additional cleaning or reparation. We reserve the right to collect payment from/subtract from your damages deposit and collect any additional payment required to cover the cost of any damaged caused, additional cleaning or reparation.
• Guests are not permitted to remove anything from any of the glamping pods or communal areas.  
• Any items left behind by our guests must be claimed within 2 weeks of departure and postage charges will apply for the return of the goods.

Smoking and Vaping

• Smoking / vaping is NOT permitted inside the glamping pods, inside communal areas or in the hot tubs. This includes e-cigarettes.
• Smoking is permitted outside the glamping pods but cigarettes must be disposed of in outside bins provided.
• If smoking has been detected inside the property during your stay, we will make a charge of £200 for intensive cleaning.

BBQ and Fires

• A firepit with BBQ grill and utensils will be provided for each glamping pod. Firewood, kindling and firelighters can be purchased from our honesty shop.
• Only logs supplied by us can be used on site and you are not permitted to bring your own BBQ or firepit.
• The firepits must NOT be moved as they need to be kept a safe distance away for the pods and supervised at all times by a responsible adult.
• The firepits must never be taken into any buildings for safety reasons.

Hot Tubs

• Our wood fired hot tubs are made from solid wood with a fibreglass lining and are heated by a stove.  We fill the hot tub and prepare the stove with kindling and firelighters everyday ready for you to light. It takes about 1.5-2 hours to reach the perfect temperature (can take up to 3 hours in the winter). We supply one bucket of logs or heat bricks for each night of your stay to get your hot tub heated to the ideal temperature. You can purchase additional wood from our honesty shop if required. Please only use the kiln dried wood or heat bricks available in our shop as other types of wood could damage the hot tub and cause a lot more smoke.
• Hot tub rules will be displayed inside you pods, please read these before using the hot tub.  These rules MUST be adhered to for your safety.
• You use the hot tub at your own risk. The Beeches Glamping cannot be held responsible for your safety whilst you are using the hot tub.
• The hot tubs are emptied, cleaned and refilled every morning normally between 10-12. The hot tubs will not be available for use during this time. We do not use any chemicals in our hot tubs as the water is changed each day so it is treated like an outdoor bath.

Dogs

• Guests are welcome to bring up to two well behaved dogs to stay only in Willow, Maple and Hazel pods.
• Cedar pod does not allow dogs and if dogs are brought into this pods without out prior knowledge, we reserve the right to ask the guests to leave.
• Dogs must be added as an extra at the time of booking and the cost is £25 per dog for up to 2 dogs per stay.
• Dogs must NOT be left unattended in the pods or on the site at any time.
• Dogs must be supervised at all times in the field.
• There are several working farms with livestock close by so please keep your dog under control at all times.
• Please be responsible for your pet and ensure all dog foul is collected and binned appropriately.
• We will provide a blanket, food and water bowl for your dog.

Group Bookings

• We offer exclusive site booking of all four glamping pods for family groups or special get togethers. We do not allow Stag or Hen parties without prior arrangement.
• Bookings of more than two pods together MUST be organised in advance by contacting us on  contact@thebeechesglamping.co.uk or 077412 66977 before booking. A security deposit will be required for group bookings.
• We do not take group bookings of three pods, only two or all four.
• If more than two pods are booked by a group without prior arrangement, you may be asked to leave the glamping site.

Electric Vehicles

• Please do not attempt to charge electric vehicles from the glamping pods power supply. This will overload and damage the cables and will also invalidate our insurance.

Complaints

• If something is not to your satisfaction while you are staying with us, please let us know as soon as possible so we can rectify the problem.
• We take all comments good and bad from guests on board and in the event that you would like to make a complaint, please contact us by telephone or email and we will respond. We will make every effort to resolve any issues as soon as possible.

Code of Conduct

• We are a small family business and we are very proud of our glamping site. We expect all our visitors to look after and respect our site and other guests during their stay.
• Loud music is not permitted and we ask guests to keep noise to a minimum after 10pm. 
• No fireworks or Chinese lanterns are permitted on our site.  
• Please do not invite guests to the glamping site without our prior agreement. Guests who are not staying at The Beeches Glamping cannot use the hot tubs due to insurance reasons.
• We are predominately a glamping site for couples and families. This site is not suitable for loud late night parties as we have other guests and also neighbours to consider.
• Parents are responsible for their children and children must be supervised at all times.
• Sub-letting is strictly forbidden.  Only the people booked into the pod are allowed to stay.
• The owners reserve the right to enter your accommodation to carry out any repairs or inspections during your stay.

Confirming receipt of your booking confirmation email acknowledges your acceptance of these Terms and Conditions. Payment of the Initial or Full charge indicates acceptance of these Terms and Conditions.

Should any guest or party become in breach of these Terms and Conditions, we reserve the right to terminate your booking and if necessary, request that you vacate the property.
